1. General
1.1 These are the terms and conditions ("Terms") applicable to The Role Play Haven Membership ("Membership"), and the associated Physical Membership Card and downloadable Digital Membership Card, and apply to the purchaser of the Membership ("you/your") provided by The Role Play Haven CIC, trading as The Role Play Haven ("the Company").
1.2 By purchasing Membership, you agree to these Terms.
1.3 Membership is only available to individuals aged 18 or over.
2. Membership Period
2.1 Membership is issued on a quarterly-prorated basis and runs until 30 September each year, as follows:
- Memberships purchased between 1 January and 31 August expire on 30 September of the same year.
- Memberships purchased on or after 1 September expire on 30 September of the following year.
2.2 If you are unable to use your Membership at any stage during this period, refunds or extensions cannot be offered, except as set out in Section 4 (Conditions of Refund).
2.3 Membership is personal to the purchaser and is non-transferable. It may not be shared, sold, gifted, or otherwise transferred to another individual.
3. Membership Cards
3.1 If you order a Physical Membership Card, although the card is issued to you, the Company retains ownership of the card itself.
3.2 The Company may ask you to return the Physical Membership Card if you are banned from any branch of The Role Play Haven, or if your Membership is revoked.
3.3 The Company may deactivate a Digital Membership Card if you are banned from any branch of The Role Play Haven, or if your Membership is revoked.
3.4 Membership may be revoked at the Company's discretion, including (without limitation) for breach of The Role Play Haven Code of Conduct or for fraudulent use of a Membership Card.
3.5 By purchasing Membership, you agree to follow The Role Play Haven Code of Conduct.
4. Conditions of Refund
4.1 No refund can be issued for the purchase of a Membership other than in exceptional circumstances, as agreed by a Director of the Company.
5. Lost, Stolen, or Replacement Cards
5.1 If you are unable to show a valid Physical Membership Card or Digital Membership Card on entry, you may be required to pay the non-membership rate before you are admitted to a game. This charge is non-refundable.
5.2 Lost or stolen Physical Membership Cards will be replaced free of charge in the first instance. Subsequent requests for a replacement card will each carry a £2.50 administration charge, unless — in the event of theft — a police report is provided. In all cases, the minimum time taken for replacement cards to be dispatched is 1 week. Cards are to be collected at the club venue.
5.3 There is no charge for reissuing a Digital Membership Card, as it can be re-downloaded by the member at any time.
6. Discounts
6.1 Your Membership offers you a discount on The Role Play Haven purchases of Game Session Tokens (GST), which are used to pay for game session evenings. The discount is currently a reduction of £1.00 from the standard GST price.
6.2 Some retailers may offer discounts for members upon presentation of their Physical Membership Card. Currently, third-party discounts are only available to holders of a Physical Membership Card and cannot be accessed using a Digital Membership Card. Details of available discounts are available from HQ volunteers upon request.
7. Data Protection
7.1 Details of how the Company collects, uses, and stores your personal data are set out in the Company's Privacy Statement, available at: Privacy Statement.
8. Changes to These Terms
8.1 The Company reserves the right to amend these Terms, and to amend Membership pricing, at any time. Where reasonably practicable, changes will be communicated to members in advance.
9. Governing Law
9.1 These Terms are governed by, and construed in accordance with, the laws of England and Wales.
